Client Portal

What a coaching client portal should include

A portal is not a filing cabinet with a logo. It is the place a client goes between sessions, and what they find there decides whether momentum survives the week. Anything that does not help a client move forward or reach you is weight. Here is what belongs.

Their plan, in one place

The plan you agreed belongs where the client can see it without asking you: the goal, the steps, and where they are in them. Add the material that supports each step, whether that is a video, a worksheet or a link. One screen, the current step highlighted, everything behind it.

When the plan lives in your inbox, the client has to dig for it, and clients do not dig. They skim, they close the tab, and the session starts with ten minutes of catching up instead of coaching.

Progress they can see without asking

Nothing drains a coaching engagement like silence between sessions. A visible tracker turns invisible movement into something the client can watch: steps completed, where they are in the block, what is coming next. It answers the question they would otherwise send you late at night.

Show the plan as it stands rather than a dashboard full of numbers they have to interpret. The client should be able to answer one question in five seconds: is this moving forward? Momentum is a feeling, and feelings need evidence, so give them a small, honest marker each week.

Messages attached to the record

Clients message you between sessions, and those messages belong with the client's record, where you can find them and where they make sense next to the plan and the history. Messages in a personal inbox get lost, forwarded and answered late, and they never reach whoever covers for you.

Give your clients one obvious place to write, then say how quickly you reply and hold to it. Predictable replies matter more than fast ones; clients stop writing when they cannot tell whether you got the message.

Booking and the screens around it

Let the client book the next session from inside the portal, so the appointment and the plan live together. Add the settings and account screens they need, so they are not emailing you about logins. Keep the rest out until something earns its place.

In QwikSol, every client gets a branded login for their material between sessions, with screens for the dashboard, results, videos and booking. The progress tracker shows steps completed and progress, and a completed assessment can create the portal account in the first place, so the handover from prospect to client happens without you copying anything by hand.

Key takeaways
  • Put the agreed plan where the client can see it without asking.
  • Show progress plainly, so momentum never depends on your memory.
  • Keep messages with the record, and say when you reply.
